This year Suffolk Chamber joined forces with ISSBA to put on the biggest Business Exhibition in Suffolk to-date. The annual event has always been a success, but this year with such great support the event exceeded everyone’s expectations.

The Exhibition was professionally managed and organised on behalf of Suffolk Chamber and ISSBA, by Boleyn Events Ltd – who have established an excellent reputation for conference and exhibition organisation over the last few years.

Opened by Mayor David Hale there were 121 stands, six first-class seminars, and one-to-one advice workshops available to both exhibitors and visitors.

This year’s exhibition was buzzing with over 1,300 people attending and the added entertainment factor of having Ricky Gervais seemed to add extra appeal to the event.

Very positive feedback has been received from our headline sponsor Suffolk County Council and the other twelve sponsors, as well as from the exhibitors and visitors.

In conclusion, I consider that the event was an enjoyable and successful day for all who attended. Boleyn Events Ltd has a professional and friendly team, who work hard to make an event something special. I would highly recommend them to anyone who is thinking about organising an important and engaging event.

I am writing to let you know how delighted the Colchester and Ipswich Group of the CIPD was about the support Kim Brown from Boleyn Events provided to our Conference held in June 2009.

It was about a year before the Conference actually took place when our Committee decided that we wanted to arrange a local conference for CIPD members. This would comprise an opening speech, an exhibition, seminars throughout the day and a closing speech by a well known national figure. It was not long into the planning stage when we discovered that a group of volunteers could not cope with the work involved. Not only did we not have the time, but we did not have the expertise in organising such an event. We also did not have in place the facilities to make it happen. How would we issue tickets? How would we acquire the exhibition stands? How would we go about publicising the event? This is where Kim came to the rescue. Representatives from the Committee very much continued to make the key decisions but Kim took away all of the admin associated with organising what turned out to be a relatively complex event.

We were all very impressed with Kim’s organisational ability. No problem was too large. If we asked if something could be done, the answer was almost always – of course! Kim pointed out things we had not thought of. She used her experience of organising such events in the past to steer us in the right direction. She was able to use Boleyn Events facilities to manage the finances associated with the Event.

The Event turned out to be very successful and a lot of this was down to the tremendous efforts of Kim and the rest of the Boleyn Events Team. We would certainly use Boleyn Events again for any future such event.

I was introduced to Kim Brown and Boleyn Events through ISSBA and Kim very effectively helped me to source an excellent venue for meetings of the Athena Network in Ipswich. My next involvement with Boleyn Events was when they supported us to organise the Colchester and Essex CIPD group conference and exhibition – “HR for Success” – in June 2009. I certainly believe that without Kim and her team we would not have had an event! Kim worked tirelessly to help a group of volunteers, new to this level of organisation, get sponsorship, choose a venue, promote the event, sell tickets, organise the exhibition… this list goes on and on. The Boleyn team was with us from the crack of dawn on the day of the event to the time when the last person left Trinity Park in Ipswich. It was a fantastic and successful day with excellent feedback from conference and exhibition visitors alike. So many people were impressed with the professionalism of the event and Kim, with her team, played a massive part in helping us to achieve this.

Since the CIPD conference Kim has again helped me source a meeting venue and through her contacts has got me some great rates!

I am writing to thank Boleyn Events for organising such an enjoyable and profitable Horse Racing Night on Saturday at Ransomes Sports & Social Club. Those that attended thoroughly enjoyed themselves and seasoned race night goers who were there said it was the best one they had ever been to.

As you know the club has traditionally organised their own events which, in most instances, have been moderately successful. However we wanted to raise the standard to attract more people and this is why we asked you to help us. Kim, in her role as director of Boleyn Events, has provided much valuable support to a range of the students studying Event Management at University Campus Suffolk.

MY first encounter with Kim was when she provided an internship for a second year student, who worked practically with her on the management of a high profile Suffolk Business Exhibition. This proved to be an enriching opportunity for the student, who gained invaluable experience with Kim, who mentored and supported her in the practical application of her learning, towards her assessment. The student has since been employed as an event assistant with a large local charity.

Further to this, Kim has provided many opportunities for the students to engage in experiential learning within the Level 6 practical modules. She has contributed to lectures as guest speaker and she worked very closely with a group of students in the project management of a prestigious corporate event at the Trinity Park Conference Centre in Ipswich. She also performed as MC at the event and the team gained significantly from observing her professional and strategic management style.

One of the final year students is currently working on an internship with Kim. She has mentored her with great sensitivity and encouragement, at the same time providing her with a very effective and engaging work-based learning experience, to help her to gain the necessary skills and competencies for her future employment.

In particular, it was noticed that the dwell time has grown with visitors and stakeholders remaining in situ for the majority of the time that the event was open, rather than visiting for just an hour or two. This testimonial is given to Boleyn Events Limited and based on their managing of the ISSBA (Ipswich & Suffolk Small Business Association) Suffolk Business Exhibition which took place on 2nd May 2007 at Trinity Park Conference Centre in Ipswich. Having been successful at tender in December 2006, Boleyn Events were awarded the contract for the ISSBA Suffolk Business Exhibition (which was renamed from the Trade Fair following the awarding of the contract).

ISSBA is a voluntary-staffed organisation run by a Committee of 12 members to provide networking and promotion opportunities to local businesses and works very closely with the Suffolk Chamber of Commerce, Ipsenta and Business Link, as well as linking in with Ipswich Borough Council and the like. The Suffolk Business Exhibition is the most prestigious event in their annual calendar.

The work involved:

  • Writing Press Releases for the ISSBA Newsletter each month leading up to the event
  • Preparing the Layout Plan for the Exhibition
  • Liaising and negotiating logistics and prices with the venue, shell scheme and other suppliers
  • Working with local companies and organisations to maximise sponsorship
  • Working in partnership with design and printing consultants
  • Working in partnership with Archant Newspaper Group to maximise publicity for the Exhibition and also promote advertising opportunities to ISSBA members
  • Liaising with Committee Members and volunteers to co-ordinate additional help
  • Overseeing the arrangement of 10 Seminars which ran alongside the Exhibition
  • Co-ordination of all staffing and equipment (+ e.g. PAT testing to ensure legal compliance for exhibitor equipment) for both the Exhibition and Seminars
  • Managing the Exhibitor Training Evening
  • Managing the budget for the Exhibition in liaison with the ISSBA Treasurer and Chamber of Commerce
  • Taking bookings and payments from Exhibitors
  • Providing Information Packs and dedicated help on a day-to-day basis to Exhibitors and Visitors to the Exhibition
  • Overseeing the Event on the Day including Reception, arrangement of Judges and Prize-Giving for The Best Newcomer and Best Exhibitor at the Exhibition
  • Liaising with ISSBA website manager
  • Providing a dedicated website containing all information about the Exhibition for Visitors to operate alongside the ISSBA website
  • Attracting and helping recruit new ISSBA members
  • Managing Feedback from Exhibitors and Visitors
  • Measuring the number of visitors to the Exhibition
  • Provision of Monthly Progress and Final Reports to the ISSBA Committee

The event ran extremely smoothly and very positive feedback was received from both Exhibitors and Visitors about the standard of organisation and professional look and feel of both the Exhibition and Seminars.
